2) Booking, Services, and Purchases

2.1 Booking platform

Appointments may be scheduled through our booking provider, including Vagaro. When you book through a third-party platform, their terms and privacy practices may also apply.

2.2 Accurate information

You agree to provide accurate contact and booking information so we can confirm and service your appointment.

2.3 Arrival time

Please arrive on time for your appointment. Late arrivals may result in a shortened service time or rescheduling, depending on availability.

2.4 Service outcomes and personal responsibility

Results can vary by individual. If you have allergies, sensitivities, medical conditions, or are pregnant/nursing, please notify us before your service. You are responsible for providing complete and accurate information relevant to your service.

2.5 Right to refuse service

We reserve the right to refuse or discontinue service to anyone for lawful reasons, including safety concerns, inappropriate behavior, or policy violations.

3) Payments

3.1 Pricing

Prices are subject to change without notice. The price charged will be the price shown at the time of booking/purchase (unless there is an obvious error).

3.2 Payment processing

Payments may be processed through third-party payment processors. We do not store full payment card numbers.

3.3 Taxes and fees

Applicable taxes and fees may be added where required.

4) Appointment Cancellation Policy, Rescheduling, and No-Shows

At Reflexions Scalp Lounge & Spa, each appointment is specially reserved to provide you with the luxury care and relaxation you deserve. As a small, high-demand spa, last-minute changes directly impact our schedule, preparation, and the ability for other clients to book their needed services. To ensure fairness and the highest level of service for everyone, we kindly ask that all clients review and follow the policy below.

4.1 No-show policy

A “no-show” is defined as missing your scheduled appointment without contacting us.

  • First no-show: A 50% service fee will be charged to the card on file.
  • Second no-show: 100% of the scheduled service will be charged and future appointments may require prepayment.

4.2 Cancellation / rescheduling

We require 24-hour notice to cancel or reschedule an appointment.

  • Cancellations made with less than 24 hours notice will be charged 50% of the scheduled service.
  • Same-day cancellations may be charged up to 100%, depending on the service length.

5) Gift Cards, Memberships, Packages, and Promotions

5.1 Gift cards

Gift cards are typically non-refundable and may have restrictions. Terms presented at the time of purchase (including through Vagaro) control.

5.2 Memberships and packages

Memberships/packages may have expiration dates, usage limits, and cancellation rules. The terms shown at the time of purchase control.

5.3 Promotions and daily deals

Promotions may be time-limited and may have specific redemption rules. Unless required by law, promotions cannot be combined.

6) Product Sales (If Applicable)

If we sell products (in-spa or online), all sales are subject to availability. Return/exchange eligibility may vary by product type and condition. Any return policy displayed at the time of purchase controls.

7) Health, Safety, and Conduct

  • Please follow staff instructions and posted safety guidelines.
  • Do not attend appointments if you are ill with a contagious condition.
  • Harassment, threats, or inappropriate conduct may result in refusal of service.

8) Limitation of Liability

To the fullest extent permitted by law, Reflexions will not be liable for indirect, incidental, special, consequential, or punitive damages, or any loss of profits or revenues, arising from your use of the website or services.

Our total liability for any claim related to services or the website will not exceed the amount you paid to Reflexions for the specific service or purchase giving rise to the claim.

9) Indemnification

You agree to indemnify and hold harmless Reflexions from and against claims, liabilities, damages, losses, and expenses (including reasonable attorneys fees) arising out of your violation of these Terms or misuse of the website.

10) Privacy

Your use of our website and services is also governed by our Privacy Policy.

11) Changes to These Terms

We may update these Terms from time to time. The updated version will be posted with a new effective date.
